How To Hire The Band?
Five basic rules.

This applies if you book through an agent or directly with the bandleader.

Rule number 1: Do not compromise!

If after having carefully looked at the information regarding a band you are enthusiastic at the idea of having but think that due to their profile they must be too expensive, or if you know their fee and it is above your budget, do not give up. Call the bandleader and negotiate their fee.

Rule number 2: Act swiftly!

This cannot be stressed enough.
There is nothing more frustrating than deciding on a band only to find out that they are already booked on that date. Do not scout around for several weeks trying to find a cheaper act or a better act? If you like that band, act rapidly and book it. Do not think because your party will be held in 12 months you have plenty of time. It so happens that there are days in the year where it seems that everyone has a party. A band can be available for 28 days in one month and receive 10 offers for the very same day of that month. Good bands are in high demand and cannot afford to keep a provisional booking for more than 1-2 weeks.

Rule number 3: Ask for a contract!

Always book a band on the basis of a written agreement signed by both the bandleader and yourself. If you book through an agent, make sure to have a personal contact with the bandleader and that all agreements taken with the agent are in the contract signed by the bandleader.
Professional bands request a deposit on the signature of the contract which for you is a very good sign.

Rule number 4: Contact the bandleader personally!

Even if you deal through an agent. Some agents do not want bandleaders to be in direct contact with the client. Obviously the agent does not trust the band that they are selling you. It does not mean that this band is not trustworthy, or that the agent has given you a bad band. He may have seen the band live and received all the proper recommendations about them before offering them. But it may be the first time that they are working together. The agent wants to ensure he is not 'by-passed' and lose the commission. It is a tricky point. You should always obtain the contact details of the bandleader from the agent unless there is a good reason not to (?)

Discuss with the bandleader the logistics of the event and ask for what their needs are.
Try to be helpful and make the musicians happy. This is live entertainment, and musicians definitely perform at their best when they are treated well.

Ruler number 5: Enjoy!

If you have hired a professional band, they will take care of the entertainment. You will be able to take care of your guests with no worries.
